Become a Volunteer

There is more than one way to show up

Some help happens at school, some at home, some once a year, and some every week. The CCC needs all of those shapes.

Some roles require district clearance. Others don't.

Step by step

Getting cleared, one step at a time

Every step below is the district's, not the CCC's. Tick them off as you go — it saves in your browser, so you can close the page and come back.

District clearance progress

  1. Step 1
    Next stepAbout 15 minutes

Fill out the district volunteer application

Hillsboro School District runs the approval, not the CCC. This is the same place you check your status later.

Volunteered in HSD before? Check your status at step 4 rather than filling this in again. Clearances lapse quietly, and finding out in October is worse than finding out now.

  2. Step 2
Ready when you areAbout 90 minutes

Read the Volunteer Handbook and finish the trainings

Required before approval. Worth doing in one sitting rather than coming back to it.

  3. Step 3
Ready when you areAbout 10 minutes, once you are there

    Get fingerprinted

Free — the district covers it, with no out-of-pocket cost to you. Booking asks for the Hillsboro volunteer code, so take it with you:

    FPVolHillsboro1

Local tip: the FedEx Office in Hillsboro, by the Target, does these. Prints taken for an employer or another school district do not carry over — it has to be through HSD.

  4. Step 4
Ready when you areUp to eight weeks

    Wait for clearance

You will get an email when you are approved. This is the long part, and nothing speeds it up — start it before there is anything you want to sign up for.

Stuck in limbo? Neither the CCC nor the Quatama front office can move a district application along — they genuinely have no access to it. Hillsboro SD's volunteer coordinator, Kristina Gantt, can: ganttk@hsd.k12.or.us

  5. Step 5
    Ready when you are

    Send the CCC a copy

The district tells you that you are approved. It does not tell the CCC. Screenshot your approved status and email it over, and you will stop being asked whether you are cleared every time something comes up.

Ticks are saved in this browser only, so the CCC cannot see them and they will not follow you to another device. The district is the only real record of your clearance — check it at the link in step 4.

What kind of help fits you?

  • Often no clearance needed

    Quick / occasional help

At-home prep, donations, evening board meetings, or weekend workdays with no students around are different from school-day volunteering.

    • event setup
    • donations
    • at-home prep
    • one-time projects
  • Clearance required

    School-day help

Recess, library, classroom support, and anything in the building during the school day require district clearance first.

    • recess
    • library
    • classroom support
  • Plan ahead

    Recurring / deeper involvement

Weekly shifts, regular classroom help, and event leadership work best when you start early and tell the CCC what kind of help fits.

    • weekly shifts
    • regular classroom help
    • event leadership

Good questions

Things people ask

A few answers before you email the board, though emailing is still allowed.
Quatama welcomes volunteers into the building starting in October, once routines are established. Volunteer training meetings happen in September.
After a short 15 to 30 minute orientation with a trained volunteer, cleared adults can come in when it fits their schedule. Email the CCC if you would like to help with either.
Whatever you sign up for through the CCC, the district still requires front-office sign-in and sign-out when you arrive. That is how district liability coverage works.
For an evening event outside school hours, if the job is one you can safely do with them alongside you, yes and welcome. During the school day, including classroom, library, recess, or anywhere in the building, no. That is school-wide policy, not the CCC's.
That is their teacher's call, so email the teacher directly. Some love having a parent in the room and some would rather not, and either answer is fine. If it is a no, recess and library are open, and both are good ways to be around your child's school day.
No. The district covers it.
Hillsboro SD has a volunteer coordinator, Kristina Gantt, at ganttk@hsd.k12.or.us. She can see things about your application that the CCC cannot.

Ready when you are

Bring what you've got

An hour, a skill, a truck, a camera, a Saturday morning — useful help comes in a lot of forms. Opportunities still come through CCC posts, school communication, teacher requests, and the board. For school-day roles, keep signing in and out at the front office every visit.
