Privacy Policy
What information we collect, why, and what we do with it.

Coyote Community Club ("we," "us") operates quatamaccc.com to coordinate volunteers, events, and family communication for our school community. This policy explains what information we collect, why, and what we do with it.
We built this to hold as little information as possible. Most of what follows is a description of what we don't collect.
Information we collect
From parents and guardians who create an account
- Name and email address
- A password, which we store only as a cryptographic hash — we cannot read it
- The household you belong to, so that two parents in the same family see the same registrations
About students — only if a parent chooses to add one
- First name and last initial
- Grade
- Teacher
- School year
That is the complete list. We do not collect student last names, dates of birth, addresses, photographs, academic records, grades, test scores, health or medical information, disability information, dietary information, immigration status, or demographic information.
Students do not have accounts on this platform and cannot log in. All information about a student is entered by that student's parent or guardian, at their option, and can be removed by them at any time.
Automatically, when you use the site
- Standard server and security logs, including IP address, browser type, and pages requested, retained for a limited period for security and troubleshooting
- A session cookie that keeps you signed in, once you have an account
- A cookie remembering which language you chose, so the site stays in it
Those two are the only cookies this site sets, and both exist to make the site work rather than to learn anything about you. We do not use advertising cookies, third-party analytics trackers, or cross-site tracking of any kind.
How we use it
- To sign you or your student up for volunteer needs, events, and other activities, and to manage rosters, capacity, and waitlists
- To send you confirmations, reminders, and notices when something you signed up for changes or is cancelled
- To let you add what you signed up for to your own calendar
- To let coordinators see who is on a roster, and to record attendance where an activity tracks it
- To keep the platform secure and working
We do not use your information to advertise to you, and we do not build profiles about you or your student beyond what is needed to run the activities you signed up for.
Who we share it with
We do not sell your information. We do not rent it. We do not share it for anyone's advertising.
We use a small number of service providers to operate the platform, and they receive only what they need to do their part:

These providers act on our instructions and are not permitted to use your information for their own purposes.
We may also disclose information if we are legally required to, or where necessary to protect someone's safety.
What other families can see
Coordinators and board members of our organization can see rosters for the activities they run, including who is registered and, where an activity tracks it, who attended. Public pages — the calendar, the list of what we need help with, event pages — are visible to anyone without an account, and are limited to activity information. Student names do not appear on public pages or in public calendar feeds.
If we offer you a personal calendar feed, the feed link itself is the only credential controlling access to it. Treat it like a password. Where feed regeneration is available in your account, regenerating a link immediately stops the old one from working.
How long we keep it
Registration and attendance records are kept by school year, so that history from previous years remains available to the organization. Account information is kept while your account is active.
You can ask us to delete your account, your household's information, or a student record at any time, and we will do so except where we must keep a record for legitimate organizational purposes such as financial or safety records.
Your choices
- See or correct your information — sign in and edit it, or contact us
- Change what we send you, or stop email entirely — contact us at quatamaccc@gmail.com
- Delete a student record — remove it from your household at any time
- Delete your account — contact us at quatamaccc@gmail.com
Opt-out requests are honored promptly.
Security
Data is encrypted in transit. Access is enforced at the database level so that one organization's records cannot be read by another's, and so that you can only see records belonging to your own household. Passwords are stored as hashes and are never readable by us.
No system is perfectly secure, and we do not claim otherwise.
Children
This platform is intended for use by adults — parents, guardians, and volunteers. Children do not have accounts, cannot sign in, and do not submit information to us. Information about a student is entered by that student's parent or guardian.
If you believe a child has provided information to us directly, contact us at quatamaccc@gmail.com and we will delete it.
Changes
If we change this policy, we will post the updated version here with a new effective date. Material changes affecting how we use your information will be communicated to account holders.
